Hidden Gardens Venue

This is the time you are allowed to enter the venue & what time you need to be cleaned up & out of the buildig. If you do not adhere to the times stated aove you will be chared an additional $100 each 30 minutes over. If you need additional time, you may add on at the rental of $200.00 per hour. *

1) VENUE RENTAL FEE(S):

(a) The Clients or Representative for the Client(s), agree to pay an initial non-refundable retainer of 50% of the total of all fees. This payment serves to hold the venue for the specified date of event or wedding and is payable at the time of contract signature. A $250 fee due 30 days prior to your event is for our staff to setup. Place tables, chairs & rental items as discussed before your arrival on your date of event & to have the venue clean. *

This fee is NOT for us to bus tables or clean up after your guests or events.*

Venue should look the way it did when you arrive. Everything you bring in needs to be taken out by the end time of the event (including cardboard boxes). All trash needs to be placed in provided trash cans. If you leave the venue in any other condition than stated above, you will be charged a $250 cleaning fee to the card on file.*

A $500 refundable security deposit will be returnable to the client(s) up to two weeks afte the event has been held once property has beeen inspected for any potential damage from the event or wedding. You can also keep a credit card on file. *

(b) The remaining agreed upon VENUE RENTAL FEE will be due at least 30 days prior to the date of the event.*

(c) Payments may be made via (cash delivery, money order, check, or credit card.) Credit or debit card payments will be charged an additional 3.5% service fee.*

2) DATE CHANGES: There are no date changes and all payments are non-refundable. The date on this contract is your locked-in event date. If a date change is required with no other options a change can be with an additional fee of half the cost of the future dates event rate. Exceptions to the Date Change: military deployment with proper paperwork, death of the intended spouse, these will allow ONE event date change without the fee, if the event is canceled, all payments are non-refundable.*

Should there be a date change an additional fee of: $500 will be charged *

3) CANCELLATIONS: In the event of a cancellation of a special event/wedding/elopement, al payments made to date are non-refundable. We understand that sometimes it is necessary to change or cancel a reservation (see above Date Changes policy and associtated fees). All cancellations or reservation changes must be made in writing. The Client(s) is responsible for verifying that Hidden Gardens has received their cancellation letter. We cannot refund any advance payment for a canceled reservation. *

4) RULES AND REGULATIONS: The following is a list of rules and regualtions to be upheld by Client(s), which includes all EVENT PLANNERS, WEDDING COORDINATORS, and all VENDORS who are involved in the planning and execution of the special event on the premises of Hidden Gardens. *

5) PARKING: All vehicles assosciated in any way with the special event/wedding/elopement must be parked within the parking area or the drive. No vehicles shall be parked on any other lawn surfaces or gardens unless granted permission by the owners. Vendors can unload in the front or at the service entrance located on the west side of the venue & then move their vehicles & park on the west side parking lot. There are 85 parking spots. *

6) EVENT TIMES: You have rented the venue for a specfic amount of time. This is the time you & your vendors are allowed to access the space. Please allow for set up & clean up during this time. If your event exceeds this time - we charge $100 for each 30 minutes over time specified. In the event a vendor needs additional time, reenter may purchase additional hours with prior permission from HGV. Additional time may be purchased at $200 an hour. *

7) DECORATIONS: The HGV Staff is not responsible for setting up or removing decorations. Decorations may not be hung with wire, nails, tacks or screws in or outside of the venue which will damage the venue. All decorations must be removed without leaving damages. Any decorations done that are not through Lake Worth Florist must be approved by the owners and must be removed the night of the events, by 11pm.*

Venue needs to look like what it did when you arrived. Anything brought in needs to be taken with you - including cardboard boxes. Trash needs to be bagged up & placed in designated area,. *

Candles and luminaries may be used only in pre-approved containers (with the flame 2" below the top of the container.) Under no circumstances shall any open, lit pillar or taper candles be used, except a unity candle may be used with approval. *

Note: The use of white or pale colored flowers petals, lavender and blowing bubbles are permitted only outside for wedding and reception farewels. Rice, confetti silly strng, loose balloons, glitter, pyrotechnics are not permitted inside or outside the facility. *

8) INSURANCE: Client(s), through Event Planner or Caterer shall maintain Commercial General Liability Insurance including Host Liquor liability, in an amount not less than $1,000,000 Combined Single Limit for Bodily Injury and Property Damage. Such Insurance shall name Hidden Gardens as additional insured, and a certificate of insurance with an endorsement must be provided 30 days prior to the event. If you are self-catering, this is a requirement. *

9) LIQUOR/BEVERAGES/ILLEGAL SUBSTANCES: All alcohol (Including beer, wine, champagne & hard liquor) must be served by our prefferred Insured Licenses Bartending Company. (Gr8 Bartender - Jimmy 817-855-0824)*

You must hire a security if you are serving Hard Liquor 30 days prior to your event. If alcohol is served at the Event, it shall be served only by a bartender duly licensed and qualified by the TABC and covered by a liquor liability insurance policy with a minimum of one million dollars, proof of which shall be furnished to HGV thirty (30) days prior to the event. No one is allowed to self-serve alcohol (including kegs and margarita machines). *

Alcohol is to be brought in by the renters before the start of the event. You assume full responsibility for the consumption of alcoholic beverages by your guests at the Event. *

There is a NO SHOTS policy at the venue, all drinks must include a mixer that is non-alcoholic. *

Drinking of ANY alcoholic beverage is STRICTLY PROHIBITED in the abence of the aformentioned bartender. This includes tme allowed for set up and take down and/or time spent by the bridal party with the HGV grounds before the start of the event. Guest are not allowed to drink in the parking lot. It is patrolled regularly by Police. *

The Bar closes 1 hour beofre your event ends. All alcoholi beverages will be boxed up and loaded up and placed in a secure vehicle for removal from the premise by someone that has not been drinking alcohol. Alcohol may not b served to minors. Illegal substances are not allowed at any time on the premise. Drunken/Violent disturbaces are prohibited and subject to immediate removal from the premise and possible termination of event without refund. *

10) SECURITY DEPOSIT: A $500 security deposit on a credit card will be kept on file for any damages that may occur, damages will be discussed before any charges to the credit card have been made. If any damages that exceed the amount of the security deposit it is the responsibility of the person financially responsible for the event. This is due at our 30-day meeting. *

11) MUSIC: All music must end by 9:30pm Sunday-Thursday and 10:30pm on Friday & Saturday to comply with sound ordinances. The City of Lakeside noise ordinance establishes maximum decibel levels for cmmerical and mixed-use areas & are strictly enforced. The following sound-level is as follows: 80dbA. Please have your DJ or band aware of our policies. DJ & Band are responsible for bringing their own setup - tables, tablecloths, fans, extension cords, tent, ec. HGV does not provide this for vendors*

12) SMOKING: Smoking will be permitted only in designated areas located outside the restrooms on the west of the venue. Cigarette butts must be disposed on in ashtrays and not thrown in any garden, pathway, parking lot or other areas of the venue. *

13) CHILDREN: All children under the age of 16 MUST be supervised at all times! Do not allow children to run around undersupervised in or outside the venue! Do ot allow children in te gardens, trample flowers, or pull off branches. There is also a pond on the property at the bottom of the back steps. We are not your babysitters & please discuss this matter with anyone who has kids that will be attending your event. *

HIDDEN GARDENS VENUE IS NOT RESPONSIBLE FOR ANY ACCIDENTS OR INJURIES.*

14) PHOTOGRAPHY: This venue uses live, video ad still photography to assist with promition of the venue. We would love to use all photos taken at Hidden Gardens by your Photograoher for promotional purposes for us & them. Client expressly agrees to allow the venue and team to use any photograhic reproduction or other reproduction of the event subject to this contract for advertising purposes. *

Acceptance to this contrac releases the use of any wedding or event images we take or use from photogher for future promotional use with no compensation or modeling fees due to any person or party. *

15) FIRE ALARM: For ANY reason other than for a fire, if the fire alarm is pulled by accident there is a $500.00 that you will be responsible for. *

16) FORCE MAJEURE: "Force Majeure" means any circumstance beyond the reasonable control of "Hidden Gardens Venue" (including without limitation, grower availability, weather, acts of terrortism, or acts of God may be necessitate the substituition of the event.) If availability to complete services and/or provide the products contemplated in this agreement is affected by force extent thereof. *

Not withstanding the foregoing, the venue expressly agrees that is the force majeure is such that it is unable to perform its part of the agreement, the venues will A: Make every effort to maintain the overall aesthetic value of the event. B: The Client(s) will be notified when major substitutions become necessary. *
